Randstad is rolling out Workday as the new global ERP platform in phases across multiple countries. This initiative aims to standardize and streamline HR, Finance, and Procurement processes. A central source-to pay support team is being established in Budapest to manage these processes within Workday and ensure a seamless transition.
The T&E Systems Analyst/Global Expense Configuration Specialist will be an integral part of this team—focused on the day-to-day execution and maintenance of all T&E and credit card related data within Workday. In this role, you won't just support the system—you will provide technical support for our global travel, expense, and corporate card programs within Workday. This is a unique opportunity to use your deep configuration expertise to directly shape global policy and financial compliance. You will be the architect responsible for translating global spending rules directly into our ERP. This involves maintaining and supporting the enforcement of expense policies (e.g., setting maximum daily limits and mileage rates) and ensuring that our corporate card program is flawlessly integrated, from secure card data upload to immediate system activation, minimizing risk and optimizing compliance across the entire organization.
This is a unique opportunity to join a newly created team and establish the foundation for our global financial and procurement technology governance.
how you will contribute
You will play a vital role in Randstad's digital transformation by ensuring our expense and card processes are seamless, compliant, and efficient worldwide.
... - policy architect: you are the expert who translates complex global spending rules (like per diem and mileage rates) into clear, executable system logic, enforcing policy globally and reducing compliance risk
- spend guardian: by maintaining audit rules, policy violation flags, and spending limits, you directly contribute to stronger cost control and accurate financial tracking across the organization
- integration master: you ensure a flawless employee experience by owning the technical integration and maintenance of all corporate credit card data from our banking partners
what you will be doing
You will manage the end-to-end technical configuration and ongoing maintenance of the T&E function:
expense policy configuration
- item & policy maintenance: maintain and support enforcement of complex policy rules for all global expense items, including updating per diem and localized mileage rates
- workflow integrity: maintain the expense report settings in workday, including configuring sophisticated audit rules, policy violation flags, and security setup
- localization: manage approved configuration changes for localized rules and exceptions where global standards do not apply
corporate card management
- integration ownership: manage the technical setup and ongoing import of corporate credit card transaction files from our banks
- program structure: define and maintain the structure of the corporate card program and accurately assign cards to individual workers and supervisory organizations
- system resolution: act as the final escalation point to identify and resolve systemic exceptions and errors within the card transaction import process
support & training
- T&E expert: serve as the primary, high-level point of contact for complex employee inquiries and technical issues related to T&E
- knowledge transfer: conduct specialized training sessions for new hires and existing employees on T&E policies and processes
who you will work with
You will collaborate directly with expense and credit card business process owners to architect and administer our new solution. Critically, you will work hand-in-hand with the global travel management team to implement an end-to-end travel solution that not only drives compliance but also integrates seamlessly into the employee experience. You will serve as the trusted expert for local and global teams. This involves:
- partnering with process owners: translating their strategic requirements into robust system configurations
- driving the travel ecosystem: working closely with the global travel management team to embed compliance and governance within a cohesive end-to-end travel solution
- empowering end-users: serving as the expert point of contact for local and global teams, resolving complex user issues and leading proactive training initiatives for newcomers
what you will bring
We are looking for a hands-on configuration specialist who is ready to take technical ownership in a fast-paced, global environment.
technical foundation
- proven configuration expertise: 2+ years of dedicated experience working with and configuring expense management, corporate credit card systems, or financial modules in a major ERP (workday experience is a significant advantage)
- process mastery: demonstrated experience in configuring end-to-end expense and credit card processes, including policy enforcement, audit trail requirements, and user security within an ERP system
- data integrity focus: attention to detail and analytical skills to ensure the accuracy and integrity of expense reports and large-volume bank transaction imports
global impact & soft skills
- multinational mindset: previous experience working within a large, multinational or complex organizational structure is highly valued
- exceptional communicator: you possess excellent written and verbal communication skills in English and the ability to articulate complex technical issues clearly and effectively to internal and external stakeholders
- stakeholder resilience: proven ability to work constructively and effectively with diverse individuals, managing expectations and resolving complex, escalated issues with tact and professionalism
- valuable asset: knowledge of Spanish is a plus
